1. The Ensemble taking part in the Festival should not outnumber 30 persons (including: leaders, drivers, interpeters and other people).

2. Information and detailed programme of the Festival will be sent not later than July 2026.  
     
3. The Festival arrival date in Varna is 30 July 2026 after 15:00, and departure is scheduled for 4 August 2026 after breakfast.

4.During the Festival period, the ensemble must not accept other engagements and must participate in rehearsals and concerts included in the official Festival programme.

5.The Festival provides transportation from the airport to the Festival headquarters for groups arriving by air from outside Europe.

6.The ensemble must inform the Festival about its travel arrangements and visa requirements (if applicable) no later than 1 June 2026.

7.The Festival provides accommodation with daily expenses covered for each participant in hotel accommodation, in rooms for 2, 3 or 4 people, including half-board meals (breakfast and dinner) during the Festival period.

8.The Festival does not assume responsibility for any arrangements after the official Festival period. Groups must leave the hotel on 4 August 2026 after breakfast.

9.The Festival provides a guide–interpreter–coordinator for each participating ensemble.

10.The ensemble is required to arrange medical insurance for all group members for the entire Festival period and present it upon entering Bulgaria at the relevant border checkpoint.

11.The Festival will provide medical assistance in case of emergencies and accidents occurring during the Festival. The Festival is not responsible for medical assistance before the beginning of the Festival.

12.The Festival programme includes daytime and/or evening concerts on outdoor and indoor stages (20–30 minutes) and participation in street parades with performances up to 5 minutes.
The ensemble may be invited to perform at locations where the full group cannot participate. Therefore, the ensemble must provide information about the possibility of performing with a reduced number of members.

13.The ensemble must strictly follow the Festival programme and the assigned performance schedules. It is not allowed to perform at other locations without prior agreement with the Festival Organizers.

14.The ensemble may be included in programmes of various events in Varna and nearby resort areas.

15.The ensemble must provide the national flag of its country.

16.The ensemble must perform with live music or playback. The Festival will provide the necessary sound equipment.

17.The Festival programme includes free time for rest and leisure for each ensemble.

18.All participating groups will receive a plaque for their participation in the Festival. An
exchange of gifts with the organizers and local authorities is planned.

19.The Festival has no participation fee.

20.The leader of the ensemble is responsible for the discipline of the group, including compliance with the Festival programme, good relations with other groups, and the artistic level of the performers corresponding to the submitted promotional materials.

21.Any special needs or requirements of the ensemble will be considered according to the circumstances.

22.The ensemble grants the Festival, free of charge, the right to broadcast live and to make audio-visual recordings (for radio and television) of the performances presented by the ensemble during the Festival.

The above mentioned Rules are worked out and conformed with the special conditions and requirements of the CIOFF’s Statutes for international festivals.
